How to create a drop-down list in Excel and Google Sheets

Updated October 29, 2026 · 3 min read

Select the cells, go to Data, then Data Validation. Under Allow, choose List. In Source, type the choices separated by commas, like East,West,North, or point to a range of cells. Click OK.

Steps in Excel

  1. Select the cells that need the drop-down, like E2:E7 for Region.
  2. Go to Data > Data Validation.
  3. Under Allow, pick List.
  4. In Source, type East,West,North, or click the arrow and select a range like $J$2:$J$4.
  5. Leave In-cell dropdown checked and click OK.

Use a range, not typed choices

Pointing to cells means you can update the list in one place. Use $ signs so the source doesn't move. If the list will grow, turn it into a table first (Ctrl + T) and point to the table column, so new items show up in the drop-down automatically.

Show a message or block bad entries

  • Input Message tab: shows a tip when someone clicks the cell.
  • Error Alert tab: Stop blocks anything not on the list. Warning and Information let people override it.

Steps in Google Sheets

  1. Select the cells.
  2. Go to Insert > Dropdown, or Data > Data validation.
  3. Choose Dropdown or Dropdown (from a range) and add the options.
  4. Click Done.

Why drop-downs matter

They stop typos like "east " or "Est", which break COUNTIF, SUMIF and VLOOKUP. That's why admin and data entry tests often ask you to add one.

Remove a drop-down

Select the cells, open Data Validation, and click Clear All.

Questions people ask

Why don't I see the drop-down arrow?

The arrow only shows when the cell is selected. Also check that In-cell dropdown is checked in Data Validation.

Can I copy a drop-down to more cells?

Yes. Copy the cell, then use Paste Special, Validation to paste only the drop-down.
